How returning-patient recognition and verification works

When a caller identifies themselves as a returning patient, VitalDesk looks for a matching active patient record in the clinic’s VitalDesk Patient Records and in patient data synchronized from supported external integrations.

Verification is strict: the stored record must match the caller’s full name, date of birth, and phone number. Date of birth is required. If those identifiers do not all match, or if the result is ambiguous, VitalDesk does not guess which record belongs to the caller.

After successful verification, the AI can acknowledge that it found the patient record and reuse trusted details from that verified record instead of making the caller repeat information unnecessarily.

If the verified record or connected appointment history contains an assigned provider, VitalDesk can reuse that provider only when the provider name exactly matches a doctor configured by the clinic. This verified provider becomes authoritative over an earlier unverified provider name mentioned during the call.
